Our booking terms, conditions and privacy policy

 

Please read through our booking terms below. If there is anything you are unsure of before booking onto an event, please contact us and we will be delighted to discuss this with you

 

Booking process


All bookings must be made through our online booking form. 

Emails sent to you may be formatted in HTML and include files in PDF format (eg kit lists and invoices) - please ensure your email filter allows this.


 

Payment


On our online event booking form, you will be asked to select a payment method.

Once the booking form is completed, you will be directed to a secure payment gateway to make payment.


 

The information you provide


The information you provide is required for our insurance purposes. We will not disclose the information to any other party or use the information for any other purpose.

 

 

Cancellation procedure


If you choose to cancel your booking :

Booking cancellations must be made in writing.
If you cancel more than 28 days before an event takes place, your payment will be refunded minus a £10 booking deposit.
If you cancel 28 days or less before an event takes place, no payment will be returned.

We do not offer credit towards future events in place of a refund.

We strongly recommend you take out appropriate holiday insurance to cover for unforeseen events that may cause you to cancel your booking.

If we have to cancel your booking :

Regardless of reason, in the very unlikely event that we have to cancel your booking, then we will refund your payment in full. 
We will try and give as much notice as possible. 

For weather related cancellations, notice could be as short as a couple of days. For other reasons, we would hope to give a fortnight's notice, possibly more. 

We cannot be held liable for additional costs you may have incurred such as accommodation or transport you may have booked.

Fitness and experience


A level of fitness and experience appropriate for the activity you are taking part in will be required. This will vary depending on the type of event and will be posted on the event page with more information on the Useful Info page. We do ask you for an outline of recent relevant experience and current fitness on our booking form. This is used to help us plan the event you are booking onto and try to ensure people within the group are of a similar level. You must also let us know if you have any injuries, medical conditions or are taking any medication. 
It is your responsibility to ensure you have the required level of experience and appropriate level of fitness for the event you are booking on. If this turns out not to be the case, then for safety reasons, your guide may ask you not to take further part in the event and any fees paid will not be refunded. Anyone believed to be under the influence of drugs or alcohol, acting in an abusive matter or ignoring advice given by their guide will also be required to leave.

If you have any doubts or need to discuss your fitness or experience, please contact us before booking onto an event and we will be more than happy to advise.


 

Image rights


We want you to have a great experience and take away wonderful memories. To help this we'll take some pictures on events and share them primarily through Facebook and our website. If you would prefer not to have your photo taken or your image used, please let us know. Copyright of any photos shared remain the property of the owner.


 

Risk


Please note that although you will be guided by a mountain leader with appropriate qualifications, hillwalking can involve a risk of injury. You need to accept an element of risk exists and you may feel the need for appropriate insurance - the MCofS have policies through the BMC. Your leader will assess the group and weather conditions and, to ensure safety, may make appropriate changes on the event if required. This may involve a change of venue, curtailing a walk in poor weather, or extending your day if conditions and group fitness allow.

Should you not heed the advice of your guide or leader during the event then you will forfeit all professional protection and duty of care and you may be asked to leave the event without a refund of fees paid.

We make every effort to ensure this is correct, but cannot be held responsible for any inaccuracies or subsequent alterations of itineraries which are beyond our control. We reserve the right to withdraw or modify at any time arrangements advertised

As a guiding organisation, we require these details in order to fulfil our contract with you. Please do not use this website if you do not agree with any of the following.

In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet; login; e-mail address; password; computer and connection information and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. We also collect personally identifiable information (including name, email, password, communications); payment details (including credit card information), comments, feedback, product reviews, recommendations, and personal profile.

When you conduct a transaction on our website, as part of the process, we collect personal information you give us such as your name, address and email address. Your personal information will be used for the specific reasons stated above only.

The information we collect is used to complete any bookings made by you and respond to specific enquiries and queries. The information may also be used for responding to other enquiries made by you. We may also use collected information for preventing and detecting fraudulent or criminal activity and for internal research analysis.


 

Disclosure of your information

We do not sell, trade, or otherwise transfer to any other outside parties your personally identifiable information. We may release your information when we believe release is appropriate to comply with law, enforce our site policies, or protect ours or others rights, property or safety. 

For financial reasons, we will keep your transaction data on our systems for 7 years after you have made a booking with us. For all biometric data associated with your transaction, we retain the right to hold this information for 3 years in accordance with health & safety guidelines.

 

Accessing your information

The GDPR Regulation 2018 gives you the right to check that your personal data is being processed lawfully. This access right can be exercised in accordance with the regulation. Any subject access request must be made in writing to walkglencoe@outlook.com

Data security

We will do our very best to protect your personal data. 

Once we have received your information, we will take all reasonable steps to keep your personal data secure and do our utmost to prevent unauthorised access to it. All information you provide to us is stored securely.

Our company is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. 

All direct payment gateways offered by Wix.com and used by our company adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers
